Your Contract with

When you book a golf break with, your contract is with WEDOGOLF Limited, company number 9281543, with its registered office address at 46 Cormorant Drive, St Austell PL25 3BA, trading as (“we” or “us”). Your contract is subject to the following terms and conditions. Please read them carefully as you will be bound by them.

1.  Behaviour

When you book with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be paid direct at the time to the hotel. If you fail to do so, you will be responsible for meeting any claims subsequently made against us (together with our own and the other party’s full legal costs) as a result of your actions. We expect all clients to have consideration for other people. If in our reasonable opinion or in the reasonable opinion of any other person in authority, you or any member of your party behaves in such a way as to cause or be likely to cause danger, upset or distress to any third party or damage to property, we or the supplier in question are entitled, without prior notice, to terminate the break of the person(s) concerned. In this situation, the person(s) concerned will be required to leave the hotel or other service. We nor the supplier will have any further responsibility toward such person(s) including any return travel arrangements. No refunds will be made and we will not pay any expenses or costs incurred as a result of the termination.

2.  Booking and Confirmation of Booking

You can make a booking for a golf break by either telephoning our Sales office on 01752 710073 and you must be 18 years or over to make a booking and all bookings are subject to availability. If you send us an enquiry about a break using our Enquire Now service, we will acknowledge receipt of your enquiry as soon as possible and then telephone or email you with availability and any other details you require. If you want to go ahead and book your break, we will take payment over the telephone. After we have taken payment, we will then email you (or send by post, if requested) your booking confirmation, which will set out full details of your booking and show any remaining balance to be paid, and the date by which it is due (note that full payment is usually taken at the time of booking for online bookings). The contract between you and us will only exist when we issue the booking confirmation. Please check the booking confirmation carefully as soon as you receive it paying special attention to the room type and tee times. Please contact us within 72 hours of receiving the booking confirmation if any information appearing on the confirmation or any other document appears to be incorrect or incomplete, as it may not be possible to make changes later.

3.  Complaints during your break

If you have a complaint or experience any problems during your break please inform the hotel or supplier concerned as soon as possible. In the unlikely event that the matter cannot be resolved locally with the supplier at the time, you must notify our Customer Services Department at our main office address in writing, giving your booking reference and all other relevant information within 28 days of completion of your break. This will assist us to quickly identify your concerns and speed up our response to you. If you fail to follow this procedure, we will have been deprived of the opportunity to investigate and rectify your complaint whilst you were in resort and this may affect your rights under this contract.

4.  Course Conditions

We cannot be held responsible for the actual playing conditions of the golf courses whether caused by course maintenance, or weather conditions. Golf course closure due to bad weather conditions is at the discretion of the golf course.

5.  Delays

We cannot accept liability for any delays due to arrangements you make for air travel or any other transportation not booked with us

6.  Descriptions

The descriptions contained in our literature are made in good faith and believed to be correct at the time of publication.  Obviously things can change subsequently and we cannot accept any liability for the unavailability, temporary or permanent of any facility not under our direct control. We would like to point out that some overseas resorts are still being developed and as such some building work may be going on.  However, we do not select accommodation where such disruption is likely but we will use our best endeavours to inform you of any building work prior to your departure. Should such building work occur, however, we cannot be held liable. We reserve the right to substitute alternative accommodation of the same or superior standard in the same resort should this become unavoidable. Please note that a small charge may be levied by some resorts for certain advertised facilities such as sports facilities etc. Images shown are as a guide only to give a general impression of the facilities. WeDoGolf Ltd cannot be held responsible for any errors or changes from the time of publication.

7.  Dress Code

Appropriate dress and footwear should be worn at all times on the course and in the clubhouse. Certain hotels require dress code for dinner and this will be advised at the time of booking and in the extra notes on your booking confirmation. We cannot accept any responsibility for any ruling by the hotel/golf course if you or any of your group is unable to play or dine due to inappropriate attire.

8.  Force Majeure

In these booking conditions, "force majeure" means any event which we or the supplier could not, even with all due care, foresee or forestall. Such events may include, without limitation, war or threat of war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire, epidemics and pandemics and all similar events outside our or our suppliers’ control.

9.  Governing Law and Jurisdiction

This contract and any dispute, claim or other matter of any description which arises out of or in connection with this contract is governed by and shall be construed in accordance with English law. The Courts of England and Wales shall have jurisdiction to decide any dispute or claim that arises out of or in connection with this contract.

10.  Green Fees

Cancellation of confirmed times my incur cancellation charges up to the value of the pre-paid green fee, subject to the cancellation policy of the course involved.  Single golfers on courses where buggies are included are liable to pay an additional charge for the single buggy hire locally. Golf Clubs reserve the right to make up matches to 4 balls.  Whilst we endeavour to meet requests for specific courses, days and times, these are subject to availability and we cannot guarantee we can meet them.

11.  Group Bookings

Where your booking is for more than one person, the lead name will be responsible for the entire booking. As lead name you guarantee that you have the authority to accept and do accept on behalf of your party the terms of these Booking Conditions. The lead name will be responsible for making all payments due to us in accordance with our contract. The lead name is also responsible for keeping all members of his/her party informed as to the booking details and informing us in writing of any amendments to or cancellations of the booking.

12.  Handicap Certificates

In some cases certificates must be produced prior to play.  We recommend you take a Certificate with you to avoid any disappointment.

13.  If we cancel your holiday

We reserve the right to cancel your holiday, but if we do you will be offered the choice of a full refund or a holiday of comparable standard.  On no account will we cancel your holiday within 8 weeks of departure other than for reasons of force majeure or in the event that payment is not received by the due date.

14.  If you cancel your booking

Any cancellations must be made in writing by the person named on the invoice and must be sent to our office by recorded delivery. Under certain circumstances, cancellation fees may be recovered under the terms of your holiday insurance. Cancellation charges for any booking cancelled as a whole will be levied in accordance with the following table: More than 48 days prior to departure date    – deposit only 35-48 days   – 60% 1-35 days    – 100% For any individual member of a group cancelling then notification must be made by the Group Leader. The individual member cancelling will forfeit 100% of their proportionate share of the group holiday costs if at the time of cancellation full payment for the holiday has been received by WeDoGolf Ltd. If cancellation of an individual member is received by the Group Leader when a deposit payment only has been received then he/she will forfeit their 100% proportionate share of the deposit. In such cases when a group member cancels and a substitute passenger is provided then no cancellation charges will apply. In such cases where a group member cancels and a substitute passenger is not found then WeDoGolf Ltd reserve the right to recalculate the cost of the booking, which will result in an additional administration charge. All amendments are subject to availability and whilst we will do our utmost to make your requested changes, it may not always be possible to fulfil your request. We will normally agree to a transfer of your booking to another person if you are prevented from travelling by reason of an unavoidable event (such as illness, death of a close relative or jury service), provided that we receive 14 days’ notice prior to the departure date and that the person to whom you wish to transfer satisfies all the conditions of the break. We may require satisfactory evidence before agreeing to the transfer. In the event of any other amendments, you may be asked to pay an administration charge reflecting the costs we incur in making the amendment. You should be aware that these costs could increase the closer to the departure date that changes are made and you should contact us as soon as possible. In particular, if numbers change so that there is an odd number remaining in the party, single room supplements will apply.

15.  Insurance

We strongly advise that you take out a policy of insurance in order to cover you and your party against the cost of cancellation by you; the cost of assistance (including repatriation) in the event of accident or illness; loss of baggage and money; and other expenses. If we have issued your policy please check it carefully to ensure that all the details are correct and that all relevant information has been provided by you (e.g. pre-existing medical conditions). Failure to disclose relevant information will affect your insurance. We also suggest you ensure that your insurance covers against the financial failure of the principal(s)/ suppliers(s) of your travel arrangements.

16.  Price and Payment

We reserve the right to alter the price of any golf break, not limited to any pricing error, and we will advise you of the current price of the golf break before any booking. Any subsequent reduction in prices due to special offers advertised will not apply to confirmed bookings. After your booking is confirmed, we may vary the price of your break solely to allow for variations in the exchange rate applied to your break. No price variation will be made less than 30 days before the start of your break and we will absorb part of any increase equivalent to 2% of the original cost of your break. A non-refundable deposit of £50 per person must be paid at the time of booking. The balance of the price of your break must be paid no later than one calendar month for UK breaks and 8 weeks for overseas breaks, before the date your contracted break is due to commence (the “Balance Due Date”). Bookings made less than one calendar month for UK breaks, and less than 8 weeks for overseas breaks, before the date the break is due to commence, must be paid in full at the time of booking. If the deposit, balance or final balance (as applicable) is not paid by the Balance Due Date, we reserve the right to cancel your booking and retain your deposit paid. The cost of your accommodation does not include any services that you may use or purchase whilst at the accommodation other than those specifically included in the price of your break as set out in your booking confirmation - you must pay the hotel directly for such additional services. We accept the following credit/debit cards: Visa, MasterCard, American Express, Switch, Delta and Connect. There is no charge for the use of debit cards, however there is a 2.0% charge for all credit cards, except for American Express which carries a 2.5% charge. Cheques made payable to WeDoGolf Ltd are also accepted so long as we receive them no later than 3 weeks before your travel date. Please clearly write the booking number on the back of the cheque. We take all reasonable care to ensure our website is secure, but in the absence of negligence on our part we cannot be held liable for any loss you may suffer if a third party procures unauthorised access to any data you provide when accessing our website.

17.  Special Requests and Medical Problems

If you have any special requests, you must advise us at the time of booking. Although we will endeavour to pass any reasonable requests on to the relevant supplier, we regret we cannot guarantee any request will be met.

18.  Weather conditions during your golf holiday

Bad weather is unavoidable during the course of the year and as a result golf courses may either close or the golf course will operate temporary tees and greens at their sole discretion. Golf courses reserve the right to close or operate temporary tee boxes / greens. In the event of bad weather our 'Bad Weather Policy' is as follows: Prior to Arrival Date Should you choose not to travel, subject to the policy of the hotel / golf course (our supplier's) in these circumstances, we will try and postpone your golf holiday; however price supplements may be incurred depending on when your holiday is re-booked. No refunds are available under any circumstance for cancellations made due to golf course closure. During your Golf Holiday Golf played on temporary greens and tees is non-refundable and is considered to be an accepted part of playing golf during periods of bad weather. Please note that trolley and buggy bans occur frequently when a course is wet and are determined by those in charge of the golf course. WeDoGolf Ltd cannot be held responsible due to inclement weather conditions. If you are unable to play golf on your break due to golf course closure we will, without guarantee and at our supplier's discretion, try and obtain a green fee vouchers for the golf element of the break. Each hotel and golf course sets its own 'Bad Weather Policy'. All decisions regarding green fee vouchers are solely at the discretion of the hotel and golf course and are final. We cannot be held responsible should inclement weather prevail.
